Welcome to Mosaico Travels. These Terms and Conditions ("Terms") govern your use of our website and any trips or services you book with us. By using mosaicotravels.com or booking a trip, you agree to these Terms. Please read them carefully.

Part One: Website Use
1. About Mosaico Travels
Mosaico Travels is a golf travel company based in Idaho, USA, operating at mosaicotravels.com. We design and operate small-group international golf trips. Throughout these Terms, "we," "us," and "our" refer to Mosaico Travels. "You" refers to anyone using our website or booking a trip with us.
2. Acceptance of Terms
By accessing or using our website, you confirm that you are at least 18 years old and have the legal capacity to enter into a binding agreement. If you don't agree with these Terms, please don't use our website or book our services.
3. Website Content
The content on mosaicotravels.com, including text, photos, logos, itineraries, and design, belongs to Mosaico Travels or our partners. You may view and share our content for personal, non-commercial purposes. You may not copy, reproduce, modify, or use our content for commercial purposes without our written permission.
4. Acceptable Use
When you use our website, you agree not to:
Attempt to gain unauthorized access to any part of the site or our systems.
Use automated tools to scrape, copy, or harvest content.
Submit false or misleading information.
Use the site in any way that could damage, disable, or impair its functionality.
Use the site for any unlawful purpose.
5. Third-Party Links
Our website may include links to third-party sites (golf courses, hotels, travel resources). We don't control these sites and aren't responsible for their content, accuracy, or privacy practices. Visiting a third-party site from our links is at your own discretion.
Part Two: Booking and Payment
6. How to Book
To book a trip with Mosaico, you'll contact us directly or apply through our website. Once we confirm availability and you accept the trip details, we'll send you an invoice for your deposit. Your booking is confirmed once we receive your deposit and you receive a written confirmation from us.
All bookings are subject to availability and our acceptance. We reserve the right to decline bookings at our discretion.
7. Pricing
Trip prices are listed in US dollars unless otherwise stated. Prices include the specific services and accommodations described in your trip itinerary and confirmation. Prices do not include international airfare, travel insurance, personal expenses, gratuities (unless otherwise noted), or items not specifically listed as included.
We reserve the right to correct pricing errors at any time before booking confirmation. Once your booking is confirmed, the agreed price is locked in for that trip, except in rare circumstances such as significant changes in supplier costs, currency fluctuations, or government-imposed fees beyond our control.
8. Payment Schedule
Our standard payment structure is:
A 30% deposit at the time of booking to confirm your spot. This deposit is non-refundable.
A second payment of 30% of the total trip cost, invoiced 180 days before the trip start date.
The remaining 40% balance, invoiced 120 days before the trip start date.
All invoices are due upon receipt or by the specific due date stated on the invoice. Different payment schedules may apply for trips booked within 180 days of departure or for special programs such as our founding member trips. The specific payment terms for your trip will be confirmed in writing before booking.
Payments are processed through Stripe. Accepted payment methods include major credit cards and ACH bank transfer (for US customers). International customers may have additional payment options available.
9. Late or Failed Payments
If a scheduled payment is not received by the due date, we may treat your booking as cancelled and apply the cancellation terms in Section 10. We'll always attempt to contact you before taking this step.
Part Three: Cancellations, Changes, and Refunds
10. Cancellation by You
We understand that plans change. Because Mosaico commits to golf courses, hotels, and other suppliers well in advance, and because those suppliers have their own non-refundable terms, our cancellation policy reflects the financial commitments we've made on your behalf.
Our cancellation policy is as follows:
More than 180 days before trip start date: Your 30% deposit is non-refundable. Any additional payments you've made above the 30% deposit will be refunded.
180 to 121 days before trip start date: 60% of total trip cost is non-refundable. Any payments above 60% will be refunded.
120 days or fewer before trip start date: 100% of total trip cost is non-refundable. No refunds will be issued.
Cancellations must be made in writing to [your email]. The cancellation date is the date we receive your written notice.
We strongly recommend purchasing comprehensive travel insurance at the time of booking to protect against the financial impact of unexpected cancellations. See Section 14.
11. Discretionary Future Trip Credit
In cases of documented serious hardship (such as a medical emergency, death in the immediate family, or other significant circumstances), Mosaico may, at our sole discretion, offer a credit toward a future trip in lieu of a refund. This is not a guaranteed right and is evaluated case by case.
Any credit offered would typically be valid for 24 months from the original trip date, transferable only with our written approval, and applicable to the base price of a future Mosaico trip. Specific terms of any credit offered will be communicated in writing at the time the credit is issued.
Travel insurance remains the primary protection against personal circumstances. We encourage all guests to purchase comprehensive coverage rather than rely on this discretionary clause.
12. Cancellation by Mosaico
In rare cases, we may need to cancel a trip due to insufficient bookings, supplier failures, force majeure events, or other circumstances. If we cancel a trip:
We'll notify you as soon as possible.
We'll refund all payments made for that trip in full.
We are not responsible for any other costs you may have incurred, such as airfare, visa fees, or travel insurance premiums. This is another reason we recommend travel insurance.
13. Changes to Your Booking
If you need to make changes to your booking (such as transferring to a different trip or changing the name on a booking), we'll do our best to accommodate you. Changes are subject to supplier availability and may incur additional fees. We can't guarantee that changes will be possible, especially close to the trip date.
Name changes on bookings may not be permitted by all suppliers, particularly for golf course bookings, hotel reservations, and tee time allocations.
14. Changes by Mosaico
We work hard to deliver the trip you booked, but occasionally changes are necessary due to circumstances outside our control. Possible changes may include:
Substitution of golf courses due to closures, weather, or maintenance.
Substitution of accommodations of equivalent or superior standard.
Adjustments to the itinerary order or timing.
Changes to transportation arrangements.
We'll communicate any significant changes to you as soon as we're aware of them. Minor changes do not entitle you to a refund or cancellation. Significant changes (such as a major destination change or substantial reduction in trip content) will be discussed with you, and we may offer alternatives or credit toward a future trip at our discretion.
15. Travel Insurance
We strongly recommend purchasing comprehensive travel insurance at the time of booking. Good travel insurance should cover:
Trip cancellation and interruption.
Medical emergencies and evacuation.
Lost or delayed baggage (including golf clubs).
Travel delays.
Travel insurance is the only meaningful protection against unexpected events that may force you to cancel your trip, whether due to illness, family emergency, or other personal circumstances. Mosaico's cancellation terms reflect the real financial commitments we make to suppliers on your behalf. Travel insurance is what bridges the gap between our cancellation terms and life's unexpected events.
We recommend purchasing insurance within 14 to 21 days of your initial deposit, as many policies require early purchase to include certain coverages such as pre-existing condition waivers or "cancel for any reason" upgrades.
Part Four: Trip Participation
16. Passport and Travel Documents
You are responsible for ensuring you have a valid passport, any required visas, and any other travel documents needed for your trip. Most international destinations require a passport valid for at least six months beyond your travel dates. Check the entry requirements for your destination well in advance.
Mosaico is not responsible for any costs, delays, or issues resulting from inadequate or missing travel documents.
17. Health and Fitness
Golf travel involves walking, sometimes on uneven terrain, and other physical activity. By booking a trip, you confirm that you're in adequate physical condition to participate. If you have any medical conditions, allergies, or mobility considerations we should know about, please tell us at the time of booking so we can plan accordingly.
You are responsible for ensuring you have any necessary vaccinations or medications for your destination. Consult your doctor or a travel medicine specialist before international travel.
18. Trip Conduct
We want all Mosaico trips to be enjoyable for everyone in the group. We ask that all participants:
Treat fellow travelers, Mosaico staff, suppliers, and locals with respect.
Follow the rules and etiquette of the golf courses, hotels, and other venues we visit.
Be ready and on time for scheduled activities.
Use good judgment regarding alcohol consumption and behavior.
We reserve the right to remove any participant from a trip whose conduct, in our reasonable judgment, endangers themselves or others, disrupts the group experience, or violates these Terms. No refund will be provided for removal from a trip due to conduct, and we are not responsible for any costs the removed participant incurs to return home.
19. Photography and Marketing
We may take photos or videos during our trips for use in our marketing, social media, and website. By participating in a Mosaico trip, you grant us permission to use your image in these materials. If you'd prefer not to be photographed for marketing purposes, please let us know at the time of booking and we'll respect that preference.
Part Five: Liability and Risk
20. Assumption of Risk
Travel involves inherent risks, including but not limited to: physical injury during golf or other activities, illness, accidents during transportation, theft or loss of personal belongings, weather-related disruptions, and political or social events that may affect travel.
By booking and participating in a Mosaico trip, you acknowledge these risks and accept them. We recommend comprehensive travel insurance to protect against these risks financially.
21. Limitation of Liability
Mosaico Travels acts as a coordinator between you and the various suppliers who provide the services in your trip (hotels, golf courses, transportation, restaurants, and other vendors). While we carefully select our partners, we don't own or operate these services and are not responsible for:
The acts, omissions, or failures of suppliers.
Injuries, illness, death, loss, damage, delay, or other issues caused by suppliers or third parties.
Events outside our reasonable control, including weather, natural disasters, political events, strikes, pandemics, supplier insolvency, or government actions.
Personal property loss or damage during the trip.
Our total liability for any claim related to a trip is limited to the amount you paid Mosaico for that specific trip. We are not liable for indirect, incidental, or consequential damages.
These limitations apply to the fullest extent permitted by applicable law. Nothing in these Terms limits liability for matters that cannot be limited under applicable law.
22. Force Majeure
We are not liable for any failure or delay in performing our obligations under these Terms if such failure or delay is caused by events beyond our reasonable control, including but not limited to: acts of God, natural disasters, war, terrorism, civil unrest, government actions, pandemic or epidemic, travel restrictions, strikes, supplier failures, or significant disruption to transportation networks.
If a force majeure event affects your trip, we'll work to find reasonable alternatives. Refunds in force majeure situations may be limited based on what we're able to recover from suppliers.
23. Indemnification
You agree to indemnify and hold harmless Mosaico Travels, its owners, employees, and partners from any claims, losses, or damages (including reasonable attorney fees) arising from your violation of these Terms or your conduct during a trip.
Part Six: General Legal
24. Governing Law
These Terms are governed by the laws of the State of Idaho, USA, without regard to its conflict of laws principles. Any disputes arising from these Terms or your relationship with Mosaico Travels will be resolved in the state or federal courts located in Idaho.
25. Dispute Resolution
Before pursuing any legal action, we ask that you contact us directly to try to resolve any disputes. Most issues can be worked out through good-faith communication. If we can't resolve a dispute through direct discussion, we may agree to mediation before either party pursues litigation.
26. Privacy
Our handling of your personal information is described in our Privacy Policy, available at mosaicotravels.com/privacy-policy. By using our website or booking a trip, you agree to our Privacy Policy.
27. Changes to These Terms
We may update these Terms from time to time. When we do, we'll post the updated version on this page and update the "Last updated" date at the top. Significant changes will be communicated to current customers through email. Your continued use of our website or services after changes are posted constitutes acceptance of the updated Terms.
For existing bookings, the Terms in effect at the time you booked your trip will continue to apply to that specific trip.
28. Entire Agreement
These Terms, together with our Privacy Policy and any specific booking confirmation or invoice, make up the entire agreement between you and Mosaico Travels regarding your use of our website and any trips you book with us.
29. Severability
If any part of these Terms is found to be unenforceable, the rest of the Terms will remain in effect.
